Administrative Assistant Shelbyville, Kentucky Seeking an administrative support person to assist Corporate and Kentucky plants in general and administrative support. This person should be great with details, high-energy, organized, and flexible; proactive and has a desire create a positive experience for others. This is a full-time temporary assignment to go through August. Schedule: This position will be full-time & first shift. Specific hours to be determined based on candidate selected, but ideally 8-5. Summary: Supports Corporate and Kentucky plants in general and administrative support. Serves as receptionist as assigned. Performs a variety of clerical duties, including mail, data entry, reporting, tracking, and general office duties. Represents company in a positive and professional manner in person and on the phone while maintaining confidentiality. Essential Duties and Responsibilities listed below. Other duties as assigned. Supports Corporate and KY Plant clerical duties including: • Schedule and manage tours with schools, internal personnel, etc. • Assist with corporate travel coordination for domestic travel & new training • Fills all training and conference rooms for supplies (drinks, coffee, supplies, etc.) and assists with setting up resources as required for meetings or classes. • Serves as key switchboard operator and trains others in the use of the switchboard. Maintains current and timely messages for callers. • Process daily mail • Notifies the receiver of special delivery mail and airline tickets. • Timely distributes weekly paychecks to managers • Maintains appearance and documents: reception area, lobby, and common areas. Includes replenishing all lobby materials (visitor/contractor badges, sign in sheets and PPE supplies). Serves as receptionist: • Responsible for receiving visitors, determines nature of business and directs visitors to appropriate person or destination. Insures that all visitors sign in appropriately under the ITAR/EAR requirements. • Operates external caller system and directs them to appropriate employee, supplies appropriate information to callers, records and transmit messages. May at times keep records of calls placed or received. Performs general clerical duties for HR/Safety/Training Department. • Assist HR Generalists with corporate and commercial employee functions and engagement, and events, i.e. job fairs, benefit meetings, etc. • Data entry for HR and Training system • Assists with attendance tracking and reporting. • Maintains employee paperwork, filing, and record keeping o PPE Reimbursements (issuing vouchers, logging receipt, and reconciling invoices) o Post job postings at all KY plant locations o Processes Random Drug Testing Administration /notices and tracking o Tracking required Inspection forms • Making copies/ booklets Competencies To perform the job successfully, an individual should demonstrate the following competencies: Must be great with detail, flexible, high energy and very organized. Strong verbal and written communication and good interpersonal skills are necessary. Willing to work well within a team environment. Must be extremely discreet with confidential material. Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Ability to learn new software. • Strong verbal and written communication; good interpersonal skills • Previous experience in office administrative/support role with working knowledge of general office equipment (computers, phone systems, copy machines, etc.) • Ability to comfortably work in environment with shifting priorities and interruptions Preferred candidates will also have: • Some college or is currently a student seeking associates or bachelor’s degree in Business Administration. • 2-3 years’ experience in similar administrative/support role Physical Demands The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
