Job Description Position: Product Support Representative Level 4 Department -- Product Support Reports to: Branch Manager, Parts Date effective: 2/2/96 Last revision: 11/11/2020 Primary Function: Provide external & internal customer service through determination of needs and expectations to make value-oriented recommendations resulting in profitable sales activities and satisfied customers. Essential Functions: Provide sales assistance to customers via phone, email and outside sales team Prepare professional quotes utilizing internal ERP system and CRM software Communicate with vendors to quote and process orders Follow-up and expedite orders with vendors and provide timely communication to customers Work with outside sales managers to trouble shoot customer problems, gather information required to prepare quotes, process orders and communicate information to the customer Research customer problems with equipment Negotiate with vendors and resolve issues Process returns and work with sales managers, customers and Accounting to resolve past due payments and other issues Prepare and issue parts and technical manuals as required Monitor profitability goals for distributed accounts and work within established guidelines Provide technical information, sales and application assistance as required by the customer. Analyze information and make recommendations to the end customer Track customer information utilizing CRM software Provide assistance to the Service Department to process, expedite and track orders as required Process parts orders via phone and email, provide required information, place orders with vendors, follow-up and expedite, ensure customer’s needs and expectations are met. Prepare timely, accurate quotes and orders utilizing the company ERP system. Work with assigned territory through general sales activities to promote growth in customer base, sales volume and profit margin. Responsibilities include, but are not necessarily limited to: OEM and Non-OEM Parts Sales, Represented product lines and PMI fabricated items. Participate in execution of territory sales forecasts and marketing plans. Meet assigned goals for: Volume, Profitability & New Customer Development. Provide technical information, sales and application assistance. Analyze, counsel, make recommendations; and prepare and issue quotations. Provide sales assistance to other department and team members internal and external. Prepare, issue and maintain files and correspondence as necessary to conduct department and company business in an orderly, efficient and professional manner. Complete reports and other required paperwork accurately and in a timely manner. Prepare other reports as directed by management. Adhere to established policies and procedures. Other Functions: Assist in general warehousing activities, as directed by supervision. Assist in general delivery activities, as directed by supervision. Assist in managing incoming customer phone calls, as directed by supervision. Handle purchasing functions as directed. Physical inventories After hours on-call rotation And other responsibilities as assigned by supervision. Qualifications: Education/Training: High School diploma or equivalent. General math, reading and writing skills at a minimum of grade level 12 are required. Computer literacy of MS operating platform are required. Proficiency in Outlook, Word and Excel. Knowledge of ERP systems and operations for preparation of quotes and tracking inventory Prefer 1-2 years post high school technical education/training related to job responsibilities. Experience: Minimum 3 years successful sales experience in the Heavy Equipment/Industrial Equipment or related industry. Skill/Ability/Aptitude: Personality to positively interact with customers. Excellent personal interaction with others. Professional communication skills both oral and written. Detail oriented and ability to multi task. Problem solver. Occasional travel and overnight stays required. Drivers license required. Strong reading and writing skills. Strong organizational skills Quick learner. Aggressive, persistent, determined, no excuses attitude & mindset with respect to customer care. High mechanical aptitude. Mental Demands: High degree of ability to handle multiple tasks/projects is critical. Moderate to high stress levels. Responsibilities are multifaceted, typically requiring fast paced work to meet multiple deadlines. Ability to recognize, judge, evaluate priorities to meet multiple deadlines is essential. Must posses strong “People” and diplomatic skills. Ability to empathize with customers. Ability to concentrate, listen and understand. Special Demands: Overtime & Saturday work may be required, as needed. On-Call Occasional travel via driving or air, may be required.
