Job Description Position: Product Support Administrative Assistant Level 3 Department -- Product Support Reports to: Branch Manager, Parts Date effective: 04/19/2022 Last revision: 04/19/2022 Primary Function: Provide administrative assistance to the Product Support Team. Including all branch locations, Inside Part Sales, Parts Warehouse and related part activities performed for the Service Department. Essential Functions: Assist in answering the phones, identifying customer need(s) and forwarding to the correct representative. Review generic parts email address several times a day. Forwarding all correspondences to the correct representative. Run and distribute periodic reports for the team, including but not limited to Quote, Sales Order, Service activity, Inventories, Cycle Counts, Replenishments, etc. Update multiple spreadsheet tables for data collection. Follow-up and expedite orders with vendors and provide timely communication to team and customer (as requested). Assist and ensure all documents are being retained on the X drive timely and properly. Continual review of the open sales order and purchase order reports, investigating all delinquent orders, updating the team and customer (as requested), updating promise dates on both the Sales Order and Purchase Order. Assist the Service Department expediting and tracking part orders daily. Updating X-files, Dashboard and Salesforce. Assist with continual data entry tasks, including but not limited to Quotes, Sales Orders, Set-up new Inventory Item Masters, Updating Item Master Costs, Replenishment Levels, Notes, etc. Assist the Part Warehouse with required reports, paperwork processing, scheduling and cycle counting, Other Functions: Assist in general warehousing activities, as directed by supervision. Assist in general delivery activities, as directed by supervision. Handle purchasing functions as directed. Physical inventories Any other job-related responsibilities as assigned by supervision. Qualifications: Education/Training: High School diploma or equivalent. General math, reading and writing skills at a minimum of grade level 12 are required. Computer literacy of MS operating platform are required. Proficiency in Outlook, Word and Excel. Knowledge of ERP systems and operations for Sales and Inventory Control. Skill/Ability/Aptitude: Personality to positively interact with customers. Excellent personal interaction with others. Professional communication skills both oral and written. Detail oriented and ability to multi task. Problem solver. Strong reading and writing skills. Strong organizational skills Quick learner. Aggressive, persistent, determined, no excuses attitude & mindset with respect to customer care. Mental Demands: High degree of ability to handle multiple tasks/projects is critical. Moderate to high stress levels. Responsibilities are multifaceted, typically requiring fast paced work to meet multiple deadlines. Ability to recognize, judge, evaluate priorities to meet multiple deadlines is essential. Must posses strong “People” and diplomatic skills. Ability to empathize with customers. Ability to concentrate, listen and understand. Special Demands: Overtime & Saturday work may be required, as needed. Occasional travel via driving or air, may be required.
